How a Fintech team stopped losing tasks buried in email threads
The challenge
In a fast-moving sales pipeline, a single forgotten task can mean a lost deal. For one mid-size Fintech company, their inside sales reps and account managers were juggling dozens of active conversations, and critical next steps were slipping through the cracks.
The team managed leads, deals, and accounts across Zoho CRM, communicated with their partners through Gmail, and tracked tasks in ClickUp. The problem: action items lived inside email threads, not in the task manager. Reps had to manually create tasks. At 25+ active contacts per rep, things got missed every single day.
On the management side, there was no monitoring in place. No dashboard, no feed, no way to tell whether reps were actually executing on their commitments until a deal stalled. The only option was to ask directly, which doesn't scale and creates friction.
What we built
We designed an n8n workflow that runs every hour, fully autonomously:
The workflow processes emails one by one and only triggers the recap when at least one task was found. No noise on quiet hours.
The results
The team went from "I think I forgot something" to a system where forgetting is structurally impossible, and management went from "I hope they're on top of it" to knowing for certain.
